Purchasing Agent

 


Summary of Position

Accountability to maintain efficient, effective, and accurate product flow to anticipate and satisfy customer orders.


Key Accountabilities

  • Assess Replenishment report and initiate purchases, as needed based on thorough judgment and decision-making skills
    • Review replenishment report to order or not on the computer
    • Place orders & email orders to all parties
  • Follow through with the completion of the full ordering and purchasing process
    • Making sure that Purchase orders are correct with order quantities & pricing
    • Monitor slow moving items and give to Director of Purchasing
    • Notify Director of Purchasing of price changes
  • Maintain accurate records of inventory
    • Work with Director of Purchasing to maintain outs lists goals
    • Keep PUC and Vendors updated in Demand Planning
  • Anticipate and respond to problems with inventory that may affect customer satisfaction and/or company profitability
    • Communicate with salespeople on stock shortages and outages
    • Request physical inventories
    • Call manufacturers or brokers on mistakes/mishaps

 

Essential Knowledge, Skills & Abilities

  • Strong ability to communicate in written and verbal medium with a highly diverse range of vendors, customers, and staff
  • Advanced mathematical ability from basic math functions, calculation of fractions/percentages/formulas, to understanding and calculating weights and metrics
  • Strong ability to utilize multiple computer programs (Word, Excel, Navision, Outlook, and Demand Planning) and office equipment (fax, copier, calculator, voicemail/phone) to generate and send correspondence, look-up information, and send/receive/modify order information
  • Anticipates problems and demonstrates strong decision making, persuasion, and problem-solving skills to respond quickly to situations
  • Ability to work independently with a strong level of self-motivation, initiative, and organizational qualities
  • Prior experience in a highly demanding customer service role involving multiple tasks and priorities, similar range of tasks, and high volume of detail required
  • Prior experience in purchasing functions with perishable food products highly preferred
